Assistant General and Consular Affairs Officer
Main Responsibilities and result areas
- The Assistant General and Consular Affairs Officer provides regular organizational, administrative and consular support to this department, as well as logistic support and carrying out driving assignments together with coordinating key elements of work with the Operations Manager and Senior General and Consular Affairs Officer such as:
- Ensure high quality administrative and logistical support for operational processes, such as: administration, accommodation, protocol, handling incoming and outgoing mail / diplomatic pouches / couriers / shipments etc.
- Assisting in the request of quotations regarding purchases, services etc. for the embassy, comparing offers, rates, quality of service provided etc. and advising about the best offer;
- Act as point of contact in consular affairs and provide client friendly consular services and assisting when translation is needed, inside as well as outside the office;
- Preparing, carrying out and completing driving assignments independently or for diplomatic assignments requiring a representative appearance, in accordance with instructions received and being accountable for day-to-day vehicle maintenance;
- Serves the mission as a whole and ensures good planning and clear processes for the effective functioning of a mission.
- Complies the procedures and regulations, and within these parameters seeks pragmatic solutions in keeping with the context in which the mission operates, supports colleagues, dealing with customers, and ensures effective coordination by monitoring the quality of services provided with priority for transparent and ethical conduct.
- Takes on responsibility for the maintenance the day-to-day operational needs and supplies of the embassy, as well as small maintenance in the office and residency;
- Providing general logistic support when and where necessary, for instance during incoming visits, assisting with the organization of events etc.
- Supporting the Operational Manager as deputy for Information and Communication Technology (ICT);
- The General Affairs team oversees all business operations, logistics, and related support activities. As a well-coordinated team, they collaborate effectively together to shared results In this context, the Assistant General and Consular Affairs Officer contributes as a reliable and proactive team player.
Knowledge and skill requirements
- Has knowledge of Romanian, English (in speech and writing) and Russian;
- Knowledge of organizational, administrative, consular, facility-management, ICT and logistic support methods and procedures;
- Is discrete and maintains a high level of integrity;
- Is familiar with working in an international environment;
- Is a flexible team player, prioritizing the results of the team over individual achievement;
- Knowledge of and skills in using computerized office equipment and filling documentation techniques;
- Carrying out Word, Excel and Outlook processing;
- Practical knowledge of car mechanics, topography and reading maps, skills in driving a modern vehicle in a responsible way and in dealing courteously with passengers;
- Ability to effectively prioritize and keep calm in a high-pressure environment.

Level of education / Additional training and knowledge
- Secondary vocational level
- 1 to 4 years demonstrable working experience in organizational, administrative and logistic support, Consular and ICT experience is preferred.
- Moldovan driving license for at least passenger cars.
Type of position
This is a full-time position (37,5 hours per week), initially for a fixed period of one year. After proven suitability there is a possibility that the contract will be extended.
This position is on scale 5 with a range for the GROSS salary between EUR 1116 - EUR 1228, depending on a candidate's background and experience.
In addition to the salary employees have access to a standard 13th month's salary, 90% coverage of fees for private medical insurance, training for personal and professional development.
