Job Description objective(s) and main Tasks/Activities

The Project Officer/ Administrative Assistant will assist the Team Leader, KE2, Project Director and Project Manager in all their activities; the main tasks of the Project Officer/ Administrative Assistant are the following:

  • Support the team in translation and quality check of relevant documents, minute-taking of relevant meetings, administrative and organizational activities related to project and events’ management and backstopping as well as in the management of all local administration;
  • Accompany the project experts to meetings and provide them with simultaneous interpretation when needed;
  • Ensure the smooth and efficient operations of the project and the planning and implementation of all logistic arrangements (including the collection of offers from service providers etc.);
  • Financial management, bookkeeping, and reporting:
    • Manage the petty cash of the project;
    • Process bank payments;
    • Hold all the bills related to administrative, organizational and logistic expenses such as transportations (i.e. taxi), stationery, etc.
    • Ensure the traceability and the provision of the documentation of all the project expenses in an excel file (the template will be provided by Lattanzio);
  • Support and facilitate the communication between Lattanzio, the Contracting Authority and the beneficiary;
  • Contribute to coordinating experts and trainers;
  • Support the Lattanzio team in all other backstopping activities that will be deemed necessary in the context of the project.

Candidate’s profile

Qualifications and Skills:

  • Bachelor’s degree in any relevant field;
  • Excellent command of spoken and written English;
  • Romanian as a mother tongue;
  • Excellent organizational and analytical skills;
  • Advance usage of computer and office packages (MS Word, Excel, PowerPoint, etc.).

Professional experience

  • Minimum 3 years of experience in external donor-funded project management and implementation (EU funded projects preferred);
  • Experience in project operations:
    • Logistics of project activities and events;
    • Bookkeeping and reporting;
    • Procurement;
    • Communication & visibility.
